Privacy policy.

This policy explains what personal data Animo Regis collects through animoregis.com, why we collect it, and what rights you have under the EU General Data Protection Regulation (GDPR).

1. Who we are

The controller responsible for your data is Animo Regis S.R.L. (CUI 41313544), Strada Meșterul Manole 3, Bloc D15, Scara 2, Apartament 33, Sector 3, Bucharest, Romania.

For any question about your data or this policy, email andrei@animoregis.com. We do not have a designated data protection officer, as the law does not require one for a studio of our size. Andrei Vasilief handles all privacy requests personally.

2. What we collect and why

We only collect what we need for each purpose below. We never sell your data, and we do not send marketing emails or newsletters.

When you visit the website
We collect your IP address, browser and device type, the pages you request, the page that referred you, and the date and time of your visit (server logs). We use this to run the website securely and fix errors, based on our legitimate interest (GDPR Art. 6(1)(f)). These logs are kept for as long as our hosting provider, Squarespace, retains them for security purposes.

When you accept analytics cookies
We collect the pages you view, time spent on the site, the page that referred you, a shortened IP address and a cookie ID. We use this to understand how the site is used so we can improve it, based on your consent given in the cookie banner (Art. 6(1)(a)). This data is kept for up to 14 months.

When you request a design fee estimate
We collect your name, email, phone number (optional), your project answers (type, location, county or area, site, size and options) and whether you own a site. We use this to prepare and send the estimate you asked for, as a step taken at your request before a contract (Art. 6(1)(b)). This data is kept for 24 months from your request.

After we send your estimate
We use your name, email and estimate to send a few follow-up emails about your estimate, based on our legitimate interest in responding to your enquiry (Art. 6(1)(f)). You can ask us to stop at any time. This data is kept for 24 months from your request.

When you contact us by email or through the contact form
We collect your name, email, country and message. We use this to reply to your enquiry, as a step taken at your request before a contract (Art. 6(1)(b)) or based on our legitimate interest (Art. 6(1)(f)). This data is kept for 24 months from your last message.

When you book an Office Hours call
We collect your name, email, chosen time and any notes you add. We use this to schedule and hold the call, as a step taken at your request before a contract (Art. 6(1)(b)). This data is kept for 24 months from the call.

When you become a client
We collect your contact, project and billing details. We use them to deliver the contract (Art. 6(1)(b)) and to meet our accounting and tax obligations (Art. 6(1)(c)). This data is kept for the duration of the project, and then for as long as Romanian accounting and tax law requires, up to 10 years.

3. Who receives your data

We do not share your data with anyone for their own purposes. It is handled only by service providers that run our website and tools on our behalf, under data processing agreements that limit them to our instructions:

  • Squarespace (Squarespace Ireland Ltd / Squarespace, Inc.): website hosting, contact form and Squarespace Analytics. EU and United States.

  • Google (Google Ireland Ltd / Google LLC): business email, and the documents and spreadsheets where we keep enquiries (Google Workspace), and Google Analytics. EU and United States.

  • Notion Labs, Inc.: workspace where we may keep enquiry and project notes. United States.

  • Cloudflare, Inc.: runs the estimate tool. Global network, including the United States.

  • Resend, Inc. or Postmark (ActiveCampaign, LLC): sends estimate emails when we don't send them from our own Google Workspace mailbox. United States.

  • Cal.com, Inc.: Office Hours bookings. United States.

  • Hotjar Ltd: website analytics, only with your consent. EU.

We may also disclose data to authorities where the law requires it.

4. Transfers outside the EU

Some of the providers above, including Squarespace, Google, Notion, Cloudflare, our email sending service and Cal.com, may process your data in the United States. These transfers are protected by the European Commission's Standard Contractual Clauses in each provider's data processing agreement and, where the provider is certified, by the EU–U.S. Data Privacy Framework. You can ask us for a copy of the safeguards that apply.

5. Cookies

Cookies are small files stored on your device. We use three kinds:

  • Essential cookies keep the website, its forms and your cookie choice working securely. They are always on, as the site cannot work without them.

  • Analytics cookies show us which pages are used and how, through Squarespace Analytics, Google Analytics and Hotjar. They stay off until you accept them in the cookie banner.

  • Embedded video cookies: YouTube videos on our pages may let Google set cookies and receive your IP address when they load or play. These stay off until you accept them in the cookie banner, and YouTube's own privacy policy applies.

You can change or withdraw your choice at any time through the cookie settings link at the bottom of every page, or by deleting cookies in your browser. Declining analytics or video cookies does not affect the rest of the site; embedded videos can still be watched directly on YouTube.

6. Your rights

Under the GDPR you can, free of charge:

  • Access the data we hold about you and get a copy

  • Correct data that is wrong or incomplete

  • Delete your data, unless we must keep it by law

  • Restrict how we use it while a question is resolved

  • Receive the data you gave us in a portable format

  • Object to uses based on legitimate interest, including our follow-up emails, and we will stop

  • Withdraw consent for analytics and video cookies at any time, without affecting earlier use

To use any of these rights, email andrei@animoregis.com. We reply within one month.

You can also complain to the Romanian data protection authority, ANSPDCP (www.dataprotection.ro), or to the authority in the EU country where you live or work.

7. Other information

Automated estimates
The estimate tool calculates a fee range automatically from your answers. It is a planning estimate only: it does not decide anything about you, and we review and discuss every project with you before any agreement.

Social media and other websites
We link to our profiles on LinkedIn, Instagram, Houzz and YouTube, and to other websites. Those sites have their own privacy policies, which apply when you use them; this policy does not cover them.

Changes to this policy
We update this policy when our tools or services change. The date below shows the latest version.
